Who this covers

This policy covers this website — the pages describing ScanToShop360 and the demo request form. Data you or your customers put into the ScanToShop360 application itself is covered by the agreement for that service, not by this page.

What we collect

Only what you type into the demo request form:

• your name, email address and, if you give it, a phone number;
• your shop's name, what it sells, how many locations and staff it has;
• the plan you have in mind, the system you are moving from, and any notes you add.

We record the time the request arrived. We do not run analytics, advertising or tracking scripts on this website.

The chat assistant

The chat on these pages is an automated assistant. What you type is sent from our server to Google's Gemini service, which writes the answer from our published product information. Google processes it under its Gemini API terms. Answers can be wrong; the team confirms anything that matters in a demo.

We keep each conversation so we can see which questions people ask and improve our answers. A conversation that does not lead to a demo request is deleted after 90 days. If you go on to book a demo, the conversation is kept with that request and deleted with it. Please do not type personal details into the chat — the demo form is the place for those.

Why we use it

To reply to you, arrange the demo and prepare it with your products. That is the whole list. No newsletter and no automated sales sequence. If you later become a customer, the conversation continues under the service agreement.

Where it is kept

Each request is saved in our private website database. If the database is unavailable, it is saved in a server file that cannot be opened from the web. A copy is emailed to our team at hello@scantoshop360.com.

We keep a request for as long as we are talking to you about the demo, and delete it when you ask us to or when it is no longer needed for that.

Who else sees it

Nobody is sold or given your details. The only outside services involved are the company that hosts this website and our email provider, which store and deliver the request for us, and Google, which answers chat questions as described above.

Cookies and storage

• Demo form and chat — a session cookie, set only when you open the demo page or the chat, to check that a request came from this site, stop accidental repeats and keep the chat's place. It ends when you close your browser.
• Light or dark theme — if you use the theme switch, your choice is kept in your browser's local storage so the next page matches. It never leaves your device.
• Fonts — the typeface is loaded from Google Fonts, so your browser contacts Google's servers to fetch it, as it would on most websites.

None of these are used for advertising or to follow you across other sites.

Your choices

You can ask to see the details we hold from your request, correct them or have them deleted. Email hello@scantoshop360.com from the address you used and we will act on it promptly, and tell you if anything has to be kept.

Changes

If this website starts collecting anything new, this page changes first and the date at the top moves.
